Job Description

Upstream Solutions Inc. is currently seeking qualified candidates for the position of Administrative Assistant to suport the Lower Churchill Project located in St. John's, NL.

DIRECTION RECEIVED:
  • Receives general direction from the Project Accounting Lead — EPCM in the provision of direct support to LCP
  • Finance & Accounting (F&A), with a primary focus on commercial activities performed by LCP F&A on behalf of Business Services — Supply Chain.
SUMMARY OF JOB FUNCTION:
  • Provides general administrative support to the LCP F&A Team. This position has access to a broad range of confidential and time sensitive information, and as a result has the responsibility to use a high level of judgment, efficiency and discretion in the performance of assigned tasks and must be able to adapt and work within a challenging and constantly changing environment.
PRINCIPAL ACTIVITIES, DUTIES AND RESPONSIBILITIES:
  • Assist with planning, preparation and execution of processes and procedures
  • Ensure confidentiality of commercial information is consistently maintained
  • Perform administrative duties such as word processing, filing, scanning and photocopying
  • Assist in the development and maintenance of electronic and hard copy data and files associated with accounting and commercial activities
  • Maintain filing system and electronic databases of contract information
  • Perform data entry into Excel databases and produce reports from excel based databases
  • Provide periodic coverage for team members as required
  • Administer project documentation processes and ensure approved processes are followed
  • Take minutes of meetings
  • Perform other assignments as required
EDUCATION:
  • Graduate from a recognized office administration program or an equivalent combination of education, training and experience.
EXPERIENCE:
  • Proficiency in administrative services with 3-5 years of work experience as an Administrative Assistant with general experience in an office environment and a good working knowledge of Microsoft Excel.
SPECIAL SKILLS, JOB REQUIREMENTS, WORKING CONDITIONS, ETC.:
  • Demonstrated competency in Microsoft Office applications, specifically Word and Excel
  • Must be able to act independently and take a proactive approach to tasks
  • Strong communication, organization, interpersonal and team skills
  • Comprehensive knowledge and use of document management systems
  • Ability to work in an integrated team
  • Proficient in maintaining well structured and accurate records
